All accepted Stallholders must sign a Stallholder Agreement which will be issued upon acceptance. The basic conditions of this Stallholder Agreement are included here:
1.1 Fees
Booking fees must be paid in advance, see following page for full details. The fees are as follows: General wares - £35 per full table on ground floor (single table bookings only), £25 per full table on first floor, £60 hot food vendor pitches, £25 outdoor pitch, subject to agreement with the organisers.
1.2 Trading hours
10.30am - 3.30pm. Stallholders must conduct business from the stall at all times during the trading hours. Any stallholder leaving before the event finishes at 3.30pm, will not be invited to take part in future events.
1.3 Temporary basis
The right of occupation of a stall at the event is a temporary licence. Occupation of the stall will only be as a casual stallholder during the event. The Committee has absolute discretion to grant or revoke this right at any time. The Application Form for a site does not ensure acceptance, only return of this Agreement once signed, and payment of Stallholder Payment Invoice will secure your site. See following page for details.
1.4 Venue
The location of your stall at the event will be at the Committee's discretion. Stall allocation is on a first come first served basis alongside an effort to bring diversity to the event. Please inform the Committee well in advance of any accessibility issues/requirements to be evaluated. Tables and coverings will be supplied by the committee, any additional adornment must be tasteful or removed upon request if it is deemed inappropriate or not in keeping with the surroundings.
1.5 Use of the stall
Stallholders must only use and occupy the stall for retail sale of products as described by stallholder on page 1. Other stallholders may be permitted to conduct a similar business at the event. All goods and merchandise offered for sale or sold by stallholders must comply with relevant safety and compliance standards. Photos of the stall goods for sale must be forwarded with the expression of Interest.
1.6 Stall Equipment
The event will provide tables (standard trestle sized) and table coverings (black), any chairs required can also be provided but must be contained within the space allocated. Stallholders are welcome to decorate their stand further as long as it remains tasteful and in keeping with the surroundings.
1.7 Timing for Loading and Unloading
Morning loading: Between 9.00am and 10.00am. Unloading after event from 3.30pm once the event has finished or as soon as event area is deemed safe for vehicles. Vehicles are prohibited from being parked in front of the venue during trading hours and must be relocated to stallholder car parks. Unloading/loading in front of the building is permitted with due consideration for other stall holders doing likewise. Full details will be issued prior to the event.
1.8 Payment Method
BACS transfer is preferable, the details will be on your invoice which will be issued once the completed Stallholder Agreement has been received.
1.9 Clean and Proper Condition
Stallholders must conduct themselves in a proper, polite and orderly manner at all times and keep noise to a minimum. Stalls must be kept in a clean and tidy condition and remove all rubbish from site.
1.10 Insurance/liability
Where applicable, stallholders must take out and maintain adequate product insurance at all times and a minimum £5 million Public Liability policy. This policy must be attached to the application when submitted. Vendors of food being supplied for consumption on the day must have Food Hygiene Certification. Liability for all products sold or food supplied lies exclusively with the stallholder/vendor.
1.11 Sub Letting and Sharing
Subletting or sharing of sites is not permissible without the consent of the Committee.
1.12 Weather
The Committee will not be responsible for trade affected by weather conditions. The Committee will not bear any responsibility for application refunds or losses due to cancellation either by traders or the Committee.
1.13 Extraordinary Circumstances Caveat
The committee reserve the right to cancel the event at short notice if required by local events or circumstances beyond our control.
1.14 Cancellation of booking
The committee would appreciate the courtesy of at least 2 weeks notice of cancellation to allow time for re-booking.
1.15 Raffles/guessing competition. No raffles or guessing competitions to be conducted at the event other than those agreed by the committee.
